A dealer order should not take dozens of phone calls.

For Arven we designed and built a multi-role B2B dealer portal, back end included, that brings pricing, stock, ordering, discount approval and shipment tracking into one system.

Orders were placed. There was no system.

When a dealer wanted to buy, the process did not start and end in one place. The sales team was called for the net price, stock was checked across warehouses, an extra discount waited for a separate approval, and after the order the shipment status was asked for by phone again.

The problem was not people failing to do their jobs. It was that information about the same order lived with different people, in different files and on different channels.

We did not turn one system into the same screen for everyone. Each role sees only the information it needs to make its decision.

Dealers no longer ask for prices.

Every dealer enters the system with their own commercial terms. Net price, list price, discount rate and stock per warehouse are visible in one place.

To find a product, the dealer neither calls a sales representative nor works out the price by hand.

We designed the cart as a workspace, not a payment step.

Dealers add products in pack quantities, see their trade limit and, when needed, open an extra-discount request for a specific product.

Before the order is confirmed, the system checks stock, limit and payment terms. Problems surface at the moment of decision, not after the order is placed.

A discount is no longer a phone call. It is a recorded decision.

When a dealer asks for an extra discount, the request is tied directly to the order line. The sales representative sees the current margin and the proposed margin on the same screen.

Decisions below the defined threshold go to finance for approval, and every decision stays on record together with its reasoning.

The phone traffic had to end after the order, too.

Once the order is created, the dealer follows warehouse dispatch, shipped quantity, remaining items and partial shipments from their own account.

When the invoice and delivery note are ready, they become available inside the same order.

The system does not disappear when you leave the desk.

We did not solve the dealer portal by shrinking the desktop screen onto a phone. On mobile we brought forward the order and shipment information needed most in the field.

The same system carries a different priority depending on where you are.

We did not draw static screens. We built a working system.

We did not leave Arven as a set of unrelated interface designs. We built ordering, stock, trade limit, partial shipment and multi-step approval flows as one system working end to end: the dealer and sales interfaces, the role and permission model, the database and the back end all came from the same team.

A dealer signs in and places an order; sales and finance resolve the same request within their own authority. Every decision, every shipment and every document stays on record in the system.
